Job Description

  • Provide administrative support for construction projects, act as liaison between accounting/contracts and projects/subcontractor teams.

Job Responsibilities

  • Run, review, comprehend, and compile various reports for admin, project teams, and clients
  • Support projects with pay applications and other accounting functions
  • Manages and tracks preliminary notices and monthly lien releases
  • Ensures pay applications and subcontractor invoices are approved and submitted to the corporate office prior to month-end and yearend financial closing
  • Ensures subcontractor and sub-tier compliance on all projects
  • Timely payment for compliant subcontractors to ensure we have lien and stop notice free projects
  • Prepare documents for management approval
  • Complete cost adjustments upon request
  • Compile and prepare intercompany invoicing

Required Skills

  • Must speak, read and write fluent English
  • Familiar with basic construction accounting principles and practices
  • Strong communication skills with experience in meeting and conversing with US based clients.
  • Effectively manages email communication with subcontractors, vendors, clients, and other stakeholders
  • Keen attention to detail with strong organizational and critical thinking skills
  • Work efficiently – allocate one’s own time efficiently; handle multiple demands and competing priorities
  • Capable of identifying problems and working with others to effectively resolve in a timely manner

Minimum Qualifications

  • Ability to trouble shoot potential errors in coded invoices, expense statements, and other accounting transactions.
  • Proficient with the following software programs Microsoft Office and BlueBeam.
  • Ability to electronically organize and maintain files
  • Comprehensive understanding of General Ledger accounts, proper project cost coding, phase codes, and budgets
