Job Description

The Junior Bid Specialist is responsible for supporting the Estimating SPG Department by coordinating administrative and communication functions related to the bidding process. This includes managing subcontractor engagement, organizing bid documentation, and ensuring timely and accurate project setup. The role plays a key part in maintaining the efficiency and effectiveness of the estimating workflow through proactive coordination, attention to detail, and strong communication skills.

Essential Responsibilities

  • Assist in all phases of the estimating process, including job setup, bid preparation, and post-bid close-out.
  • Assist in coordinating new project setup, including job folders, plan distribution, and calendar updates.
  • Assist in getting subcontractor RSVPs for job walks and ensure clear communication for full participation.
  • Support the team in organizing and maintaining bid logs, subcontractor databases, and license verification.
  • Help coordinate communication with subcontractors, including sending invitations to bid and tracking responses.
  • Build and maintain professional relationships with subcontractors through consistent communication.
  • Prioritize and manage multiple tasks and deadlines in a fast-paced environment.
  • Identify and implement process improvements to enhance team efficiency.
  • Learn and grow within the estimating process, gradually taking on more responsibility with mentorship from senior team members.

Essential Skills

Technical

  • Proficiency in Bidmail, estimating software, and document management systems.
  • Basic understanding of construction plans, specifications, and CSI divisions.
  • Demonstrates professionalism and clarity in phone communications.
  • Ability to generate reports and maintain accurate bid documentation.

Business and Management

  • Strong organizational and time-management abilities.
  • Ability to manage multiple projects and shift priorities.
  • Understanding of construction workflows and subcontractor engagement.

Interpersonal

  • Clear and professional communication skills, both written and verbal.
  • Ability to build and maintain relationships with subcontractors and internal teams.
  • Customer service mindset with a collaborative approach.

Minimum Qualifications

  • Associate’s or any Construction related course, or related field preferred.
  • 1-2 years of experience in BPO or customer service representative.
  • Proficiency in Microsoft Office Suite, and document control platforms.
  • Excellent verbal and written communication skill
