Job Description
- The duties and responsibilities of the Executive Assistant typically include but are not limited to providing high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions. The Executive Assistant is a facilitator and communication channel for the executive team and the organization.
Job Responsibilities
- Communication proficiency – type reports, memos, letters, and other documents
- Facilitate internal communication (e.g. distribute information and schedule presentations)
- Complete expense reports for multiple executives
- Ability to record, type, and distribute meeting minutes
- Heavy Calendar Management
- Coordinate daily calendars and events
- Planning appointments
- Make travel arrangements
- Time management
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
Required Skills
- Must speak, read, and write fluent English
- Strong communication skills with the ability to interact productively with the team
- Keen attention to detail, with an ability to spot errors
- Strong analytical and organizational skills
- Work efficiently – allocate one’s own time efficiently; handle multiple demands and competing priorities; efficiently processes paperwork
- Web and computer navigation
- Proficient with Microsoft Excel and Outlook (includes calendar and contact management)
- Well-developed time management and organization skills
Minimum Qualifications
- Flexibility
- Forward-looking thinker, who actively seeks opportunities and process solutions
- Four-year university degree in Business Administration preferred or equivalent experience in a related field.
- Proficient with the following software programs: OneNote, PowerPoint, Box, Skype, and Bluebeam/Adobe
- Demonstrated understanding of the importance of relationship building
- Effective oral and written English communication skills
Work Hours
- Monday – Friday 11:00 PM – 8:00 AM (includes 1-hr lunch break) Philippine Time
